Job Summary:

Background of the role:

Tulu Kapi Gold Mine S.C. (TKGM) is a flagship gold mining development project implemented by KEFI Gold and Copper PLC in close collaboration with the Government of Ethiopia. It is currently establishing its central office facilities in Addis Ababa.

Purpose of the role

The Office Services Administrator is responsible for ensuring the smooth day-to-day operation of office support services. This includes executive support, travel coordination, managing front desk reception, coordinating visitor access and direction, and supervising auxiliary services such as cleaning staff and driver schedules. The role ensures a safe, organized, and welcoming office environment for employees, visitors, and stakeholders.

Accountability for this role

Safety, Health and Environment

  • Model behaviour that is consistent with the Tulu Kapi Safety Vision and Values
  • Lead by example, maintain a record of zero major safety incidents and continuously improve safety.

Reception and Visitor Management

  • Serve as the first point of contact for all visitors, clients, and staff.
  • Greet visitors in a professional and courteous manner and direct them to the appropriate person or department.
  • Manage visitor logs, access badges, and security procedures as the case may be.
  • Handle incoming calls, emails, and general inquiries, directing them as necessary.

Executive, Staff and Administrative Support

  • Provide administrative support to senior management, including scheduling, correspondence, and meeting coordination.
  • Prepare reports, presentations, and documentation as required.
  •  Assist with onboarding of new employees (workspace setup, access, orientation materials).
  • Act as a central point of contact for staff queries and internal communication.
  •  Assist in implementing office policies and procedures.

Office Coordination

  • Receive and dispatch documents as directed and maintain a document log.
  • Ensure the office environment is clean, organized, and functioning efficiently.
  • Monitor office supplies and coordinate procurement when necessary.
  • Support meeting room bookings and ensure rooms are properly set up.
  • Coordinate meetings, workshops, and company events, including logistics and catering.
  • Assist in logistics of internal and external events.

Employee Travel and Logistics

  • Arrange domestic and international travel, i.e. flights, hotels, visas and supporting documents.
  • Monitor and manage employee travel schedules and rosters.
  • Coordinate airport transfers and employee transportation.
  • Liaise with the Government Liaison section and maintain records related to travel, visas, and office services.

Records and Compliance

  • Maintain accurate records, registers, and documentation in line with Company policies.
  • Support compliance with HR, legal, and operational requirements.
  • Ensure confidentiality and proper handling of sensitive information.

Culture, Environment and Professional Standards

  • Promote a positive, organized, and professional office culture.
  • Ensure the office environment reflects Company values and operational excellence.
  • Support employee engagement initiatives and internal events.

Supervision of Cleaning Services

  • Oversee cleaning staff to ensure office cleanliness standards are maintained.
  • Develop and monitor cleaning schedules and checklists.
  • Conduct regular inspections of office spaces, restrooms, and common areas.
  • Coordinate with vendors or service providers for deep cleaning or maintenance needs.

Driver and Transport Coordination

  • Organize local transport using the Company driver when required
  • Maintain driver schedules and coordinate transport requests for staff transport, deliveries, and official errands.

Requirement for the role

Qualification

  • Diploma or Bachelor’s degree in Business Administration or a related field.

Knowledge and Experience

  • 3 years of demonstrated experience in office administration, front desk, or facilities coordination at senior and coordinating level.
  • Proven experience working with Electronic Document Management Systems (EDMS) such as SharePoint, Documentum, OpenText, or similar platforms.
  • Advanced knowledge of Microsoft 365 and Office suite (Word, excel).

Technical Competence and Skills

  • Problem Ownership and Analytical Thinking: Commitment to end-to-end ownership of the front desk function and accurately identifying issues that require escalation.
  • Interpersonal and Instructional Skills: Excellent communication abilities with the ability to interact professionally and respectfully with visitors and staff.
  • Adaptability and Organization: Highly organized with the capacity to manage multiple priorities in a fast-paced environment.
  • Language Proficiency: Excellent written and verbal communication with language proficiency in English and Amharic at the Common European Framework of Reference (CEFR) category C2: Mastery standard and verbal communication in Afaan Oromo at the Common European Framework of Reference (CEFR) category B2: Vantage standard.
